1. Who we are
PropertyIntel is operated by PropIntel ApS, a company registered in Denmark. In this policy, "we", "us", and "PropertyIntel" refer to that entity. We act as a data controller for personal data collected through our public website, and as a data processor for personal data you put into the product on your customers' or employees' behalf.
2. What data we collect
We collect only what we need to run the service.
- Account data: your name, work email, company, and role. You provide this directly.
- Lease and portfolio data: documents, clauses, costs, and related records you upload or integrate. This is your data. We process it on your instructions.
- Usage data: minimal logs needed to operate the service (page and API requests, errors, device type). We do not build advertising profiles.
- Communications: messages you send us, including demo requests and support tickets.
We do not collect special-category personal data (health, political views, etc.). Lease documents occasionally contain personal data about individuals (landlord contacts, guarantors); we treat this as customer data on your behalf.
3. How we use it
- To provide, secure, and improve the product you signed up for.
- To communicate about your account, billing, and service changes.
- To respond to demo requests and support enquiries.
- To comply with legal, tax, and accounting obligations.
We do not use your lease data to train AI models. Not ours, not any third party's. This is enforced contractually with our subprocessors.
4. Legal basis (GDPR)
Under the EU General Data Protection Regulation, we rely on the following bases:
- Contractual necessity for account data and delivery of the service.
- Legitimate interests for usage logs, fraud prevention, and improving the product, balanced against your rights.
- Legal obligation for records we're required to keep (e.g. invoices).
- Consent for optional marketing communications, which you can withdraw any time.
5. Subprocessors
We use a short list of subprocessors to run the service: hosting, email delivery, error monitoring, and payment processing. The up-to-date list is available on request at contact@propertyintel.dk. We notify customers before adding new ones.
6. Where your data lives
Customer and account data is stored on infrastructure located in the European Union. We do not replicate your data to regions outside the EU. Where a subprocessor operates elsewhere, processing is limited and covered by Standard Contractual Clauses.
7. Retention
Account and customer data is retained for as long as your contract is active. On termination, we delete active copies within 30 days and purge backups on their normal rotation (up to 35 additional days). Invoicing records are kept for as long as Danish tax law requires.
8. Your rights
Under GDPR you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Have data erased ("right to be forgotten").
- Restrict or object to certain processing.
- Receive an export of your data in a portable format.
- Withdraw consent where processing is based on it.
- Lodge a complaint with the Danish Data Protection Authority (Datatilsynet) or your local supervisory authority.

9. Security
We take security seriously. TLS 1.3 in transit, AES-256 at rest, multi-tenant isolation, SSO and role-based access, audit logs on every change. More detail on our security page. We notify affected customers without undue delay if a breach ever materially affects their data.

11. Changes to this policy
We update this policy when something meaningful changes. Material changes are announced to account holders by email and noted in the "Last updated" line at the top. Continued use of the service after a change means you accept the updated policy.
